Making sense of summer 2020 registration policies

Summer 2020 is the first academic term at CCA for which all courses are online, asynchronous, and with widely varying start and end dates. Procedures and deadlines for registration changes are also new.

Section Start Date

Determining eligibility for registration changes and refunds for summer 2020 begins with the course section Start Date. To find the Start Date, go to the "Summer 2020 Course Schedule" on the Academic Dashboard in Workday and click on a course to access course details. Disregard any information that may be listed in the “Meeting Patterns” field. Instead, check the “Start/End Date” field to determine when the course begins and ends.

Please note that because Start Dates vary from section to section, a student may be enrolled in two courses with different sets of deadlines.

No add/drop period

There is no add/drop period per se during the summer like there is for fall or spring. Instead, there is an add period of one day, and an option to unregister with no transcript notation (similar academically but not financially to a drop) of three days.

Eligibility to add classes

Students can contact the Student Records office at studentrecords@cca.edu to register for an open summer course through 11:59 pm Pacific Time on the Start Date of the course section.

Please note that students are required to pay in full for summer courses in order to register. Because the deadline to add a course varies from section to section, students are encouraged to start with Student Records to confirm that a desired section is still available before connecting with Student Accounts (510.594.5086 or studentaccounts@cca.edu) to pay tuition. Student Records can then complete the registration process.

If you are contacting Student Records by email, be sure to do so from your CCA account (or copy your CCA email if you are forwarding your CCA email to a personal account). Include your full name, ID number, and the numbers and titles of the course section for which you would like to register.

Eligibility to unregister and avoid transcript notation

During fall and spring semesters, eligibility to drop a course without transcript notation is linked to eligibility for a tuition refund. During the summer session, transcript notation and refund eligibility are unlinked. Before a summer class begins, it is possible to unregister with no transcript notation (similar to a drop) and receive 100% tuition refund. As soon as a summer course begins, students' refund eligibility begins to decrease, though they remain eligible to unregister with no transcript notation for a few more days. At this stage, unregistering from the course is treated financially as a withdrawal, but it is treated on the transcript like a drop.

You can unregister (no notation) or withdraw ("W" on transcript) by contacting the Student Records office at studentrecords@cca.edu from your CCA account (or copy your CCA email if you are forwarding your CCA email to a personal account). Include your full name, ID number, and the numbers and titles of the course section(s) from which you would like to unregister/withdraw.

If you contact Student Records by 11:59 PM Pacific Time, your enrollment status will change and your transcript will be notated in accordance with the schedule below:

  • The business day before the Start Date of the course section: Unregistered with no notation on transcript
  • Start Date, second day, or third day of the course section: Unregistered with no notation on transcript
  • Fourth day of the course section: Withdrawal noted on transcript
  • Through the two-thirds point of the class: Withdrawal noted on transcript
  • After the two-thirds point of the class: No unregistering/withdrawal possible 

Eligibility to withdraw with a transcript notation

Students can withdraw from summer 2020 courses through the two-thirds point of their course section. Because course sections can have various Start and End Dates, students can be registered for courses that have different withdrawal deadlines.

You can withdraw ("W" on transcript) by contacting the Student Records office at studentrecords@cca.edu from your CCA account (or copy your CCA email if you are forwarding your CCA email to a personal account). Include your full name, ID number, and the numbers and titles of the course section(s) from which you would like to unregister/withdraw.

If you contact Student Records by 11:59 PM Pacific Time, your enrollment status will change and your transcript will be notated in accordance with the schedule below:

  • The business day before the Start Date of the course section: Unregistered with no notation on transcript
  • Start Date, second day, or third day of the course section: Unregistered with no notation on transcript

Refund eligibility

As indicated on the Summer Session Refund Policy Portal site, if you unregister or withdraw from an online summer course by contacting Student Records by 11:59 PM Pacific Time, you are eligible for a tuition refund in accordance with the schedule below:

  • The business day before the Start Date of the course section: 100% tuition refund
  • Start Date or second day of the course section: 90% tuition refund
  • Third through Sixth day of the course section: 85% tuition refund
  • Seventh or Eighth day of the course section: 75% tuition refund
  • Ninth day of the course section or later: no refund

When emailing the Student Records office at studentrecords@cca.edu, be sure to use your CCA account (or copy your CCA email if you are forwarding your CCA email to a personal account). Include your full name, ID number, and the numbers and titles of the course section(s) from which you would like to unregister/withdraw.

Business days

Business days for Student Records are Monday through Friday, 8:00 am to 4:30 pm, not including CCA holidays. Student Records will honor any summer 2020 registration requests submitted by 11:59 pm on a business day. Please note that any communication with the Student Records office on a non-business day rolls over into the following business day. For example, a 9:30 am email on Saturday will count as communication received on the following Monday, since Saturday and Sunday do not count as business days.

  • For additional advice, CCA undergraduate students may contact their academic advisor. CCA Graduate students may contact their program manager or chair.

  • Questions about eligibility for tuition refunds can be directed to Student Accounts.
